After you apply to the University of the Free State (UFS), you track your application on the UFS student self-service system, which runs on Oracle PeopleSoft. The steps below come from the UFS guide on how to track application status and its 2027 prospectus.
How to check your status
- Open the UFS website.
- Click the Students tab to go to KovsieLife.
- Click Student Self Service, which takes you to Oracle PeopleSoft.
- Type your student number in the User ID box, and your password in the Password box.
- Click Sign In. The system takes you to the Student Services Center.
- Click View Application to see the status of all your applications.
What the status codes mean
- APPL: UFS has received your application and is still assessing it
- COND: you have conditional admission
- DEIN: you have accepted the study offer
- MATR: you are prepared for registration
Conditional and final offers
If you apply before your final results, UFS may make a conditional offer. When your final results are available, UFS re-evaluates the offer and gives you a final admission outcome. Meeting the minimum requirements does not guarantee admission.
Accepting your offer
Complete the acceptance process online within the stated timeframe. If you miss the deadline, UFS withdraws the offer and you lose your place, because space is limited.
Indicate what you need
When you apply, indicate in the relevant fields if you need on-campus residence accommodation or financial aid. UFS then handles your residence application through Housing and Residence Affairs alongside your academic application.
International applicants
International applicants must submit their final statement of results to UFS when it is available, so that UFS can re-evaluate their conditional offer. If they meet the requirements, they may register conditionally while they finalise their matriculation exemption.
Residence status
If you asked for accommodation, follow up on your housing application with the residence office on your campus, giving your full name and student number. Your residence placement can be cancelled if your final Grade 12 AP falls below the residence requirement.
Merit awards
UFS calculates academic merit awards automatically after your final matric results, and credits them to your account after you register.
If you cannot log in
Reset your password on the UFS password self-service site. If your cellphone number on file is wrong, visit Student Academic Services on your campus with your student card or ID.
